Process

Certified Translation Orders – Step by Step

1. Request an Estimate

To begin, please email a clear copy of your document(s) in PDF or JPG format, along with a brief request for a quote. Our team will review your request and prepare an estimate within 1–3 hours. Once ready, we’ll contact you by email or phone with the pricing and estimated turnaround time.

2. Confirm & Pay

If the estimate and timeline meet your expectations, you may confirm your order by making a payment (e-transfer preferred). Once payment is received, we’ll begin the translation process.

3. Review the Draft

When the translation is complete, we’ll send you a preliminary draft by email for your review and approval.

4. Final Delivery

After approval, a final scanned copy will be emailed to you, and a paper copy will be mailed to your provided address. Standard postage is included in the estimate. XpressPost delivery is available upon request for an additional fee.

1. Book an Interpreter

To schedule an interpreter, please contact us via email or phone and provide the following information:

  • Date of the assignment
  • Location of the assignment
  • Language needed
  • Estimated duration

2. Confirm & Pay

Once we assign a qualified interpreter, we’ll confirm your booking and request payment (e-transfer preferred).

  • Minimum booking: 2 hours
  • For legal or court assignments: 3-hour minimum

  • Interpreters do not provide personal contact details. All communication must go through our agency.
  • Interpreters are not permitted to offer legal advice or consultation—their role is to interpret only.
  • If there is any potential conflict of interest, please inform us before the assignment begins.

We do not charge a minimum fee. Your quote is based on the length, language pair, and complexity of your document.

How do I get a translation estimate?

Email us a clear copy of your document in PDF or JPG format. Our team will review it and send you a detailed quote within 1–3 hours.

Is delivery included in the estimate?

Yes. Once your translation is finished, we email you a scanned copy and mail a paper copy by regular post at no extra cost. XpressPost is available for an additional fee.

Should I choose certified or notarized translation?

Both are accepted by most Canadian institutions. If a certified translator isn’t available for a rare dialect, notarization can be provided instead. We’ll advise you on the best option.

How long do you keep my files?

We securely store your documents for two years, so you can request an extra copy if needed. After two years, files are permanently deleted to protect your privacy.
